Receptionist Duties
Below is a list of duties that are assigned to the receptionist. Others may help but this person is responsible. The receptionist should regularly review this list at least every quarter during his/her regular performance review.
Primary Duties
- GREET EACH PT BY NAME & WITH A SMILE
- Open the Office (10 min. early, voice mail, check e-mail)
- Create checklist and all claims & do NEA’s (at beginning of shift)
- Monitor flow/schedule of ALL patients (call pt 5 min. if not arrived)
- Setup/verify “doctor patient” insurance
- Answer the phone & monitor e-mail
- Confirmation Phone Call and Pt e-mail & text reminders
- Send claims, Dr follow-up call e-mail, enter portal numbers, & close the office
- Do “Termed Insurance checks”
- Daily, Weekly, Monthly Checklists (task lists)
- Other projects (organize, tidy waiting room, follow ups)
- Review Handbook/CE
Billing and Insurance Specialist
- Check reports and missed NEA’s
- Entering & scan EOB checks (call pt if change over $75)
- Follow up on problem EOB’s, x-rays, & narratives
- Daily Deposit
- Claims Outstanding Report
- Checklists and Reports
- Other Projects
- Review Handbook/CE
Secondary Receptionist duties (if you get to them)
**If the coordinator is busy or not working, also do the coordinator’s duties**
- Complete Assistant Checklists.
- Manage mail.
- Tetris the schedule & confirm appointments two days in advance.
- Create and call labs for pickup.
- Prepare/pre-fill forms for new patients before they come.
- Gather/enter new patient information (forms, picture, etc).
- Keep front entrance/reception/beverage bar area clean.
- Keep magazines, organized, subscribed, and filtered.
- Clean patient bathrooms.
- Maintain the copier & inventory administrative supplies.
- Resolve account questions or forward them to our account specialist.
- Keep ASAP list.
- Work follow up attempts for recalls or unscheduled treatment.
