Cell Phones
- Cell phones are to be left away from patient areas.
- Doctors have an exception as they must leave their phones on ringer so they can hear emergency calls 24/7. If you have a need for an exception, please talk with a Doctor.
- Patients are never to see or hear our personal phones.
- Recognizing and supporting you and your families, we don’t mind if calls lasting longer then 15 seconds and all texts are taken in the staff room as long as you are not with a patient.
- Team members should be clocked out during such breaks.
- Employees must refrain from using social media while on work time, unless it is work-related as authorized by management. This applies to the employee’s social media use on the employee’s personal phone or on computers provided by Little Chompers.
- Do not use Little Chompers address to register on social networks, blogs, or other online tools utilized for personal use.
Computers
Little Chompers Pediatric Dentistry email, computer, internet, wireless communication and voice mail systems are Company property. Anything you create or load on the systems becomes Company property. These systems are in place to facilitate your ability to efficiently and productively do your job.
Employees are the first line of defense when it comes to a company’s cyber security. Some best practices include:
- Make sure that all passwords are at minimum 8 characters long, and should include letters, numbers and symbols, which is the requirement. Passwords should never be shared, even with other employees. It should be changed every three months, and the same password should never be used more than once.
- Users are often prompted with software that will supposedly fix or speed up their PC. Do not download any tool or utility that has not been recommended by IT. If you need to download and install software from the internet, please notify the business manager, to make sure the software is safe and will be approved.
- Some viruses are designed to infiltrate email, so it is important to make sure your anti-virus software protects your inbox. Never open attachments from untrusted sources and avoid responding to emails that request sensitive information about the company. Pay attention to where you’re sending your emails. Glance up at the “send to” field before hitting the “send” button to ensure you’re sending to the right party, especially if you’re about to send information which is sensitive.
- Because more people are using portable devices such as laptops, tablets and smart phones, there is an increased risk of these devices being stolen, which compromises all the data held on them. This is why it is important to always secure these devices, as well as using strong encryption.
- For Little Chompers to remain secure, both employees and the organization as a whole must design, implement and follow security measures. Employees that don’t comply should face disciplinary action or even termination, as the consequences of a data breach can be truly devastating.
When using the internet, do not send materials of a sensitive nature or which constitute our confidential information unless the information is appropriately encrypted to prevent interception by third parties. Treat all communications, particularly of a confidential nature, just as you would if they were in written, “memo” form. Do not access “confidential information” that you are not authorized to see.
