All Exams get Charged unless…
- New patient: pt mentions the coupon, joins the membership plan, or Dr says so.
- They have kept their 6 months cleanings, exams, & finished all recommended tx and something came up in between.
- We refer (you can bill ins but shouldn’t charge pt.)
- Exam fee, if no ins, gets credited towards treatment fee only when they choose to get recommended work done.
X-rays
- X-rays not covered are always written off.
- We happily do complimentary x-rays for all new pt visits or if Drs asks for them.
- We never ask for x-rays from other offices, we just take new ones.
- Patients with insurances that only pay for one set a year do not get a 2nd one for free unless we forgot to ask/tell how much they would cost. The Assistant tells pt how much the contracted price is and encourages them to get them if pt has watches. Again, if we forget to tell they will be written off.
- If other office want us to send x-rays, we hope there is a good reason.
Scheduling

- If there is room in Hygiene, scheduler puts CmpEx/PerEx or LimEx in hygiene in that order. If no room in hygiene, then only put LimEx in Drs Schedule. (We want to keep Dr schedule open for confirmed tx)
- On DOS, if assistant has time, or has to wait for Dr, they must convert all LimEx to CmpEx.
- Pt normally only get to use one free exam coupon per lifetime.
- When Tetrising schedule, move LimEx to Hygiene if time available.
- Exams in Dr Schedule should be put in for “Choose Dentist” so the first available dentist can service the pt and production.
